5 Winter Themed Rentals to Consider for Your Next Event in 2023

February 1, 2023

As we are considering all the wonderful ideas to include in this blog post, it is currently snowing heavily in Toronto and the surrounding area! Although some of us would prefer a sunny destination next to the ocean, celebrating the many holidays and birthdays during the winter season with friends and family is something to look forward to despite the cold weather. In this series of blog posts, we take pride in inspiring our readers with event decor and rental ideas so that when you plan your own event, the inspiration you got from our posts will hopefully equip you with all the resources you need to have a wonderful celebration.

When we think about winter themes, we think about a Winter Wonderland, maybe a Harry Potter theme in the Hogwarts Castle or maybe a few Disney themes like Snow White or Frozen. Another really popular adult theme is Game of Thrones or Lord of the Rings. The possibilities are endless. When you start thinking about your theme for the upcoming event, the key is to embrace the snow and use it to your advantage.

There are people in the south who have never seen snow below. You can imagine the wonder and excitement they may have when they see snow for the very first time. That is the kind of feeling you want your guests to have when they first enter the event space. You want to captivate them from the very beginning and throughout the entire event. When you try to envision your event according to your timeline, ask yourself how you can continue to captivate each of the five senses. If you can do that, it will be one of the most memorable events your guests have ever experienced.

With that in mind, let’s pick out some themes and look at some of our most booked rentals.

Game of Thrones Theme

This photo is not one of ours, but we can get a lot from the details here. There’s definitely a lot of thought that was put into this event. The banners hanging from the walls to the mediaeval times chandeliers, it really brings you into the Game of Thrones theme. You may want to consider electric candles instead of real ones for safety. Another thing to point out is the great use of lighting. If your venue doesn’t have specialty lights installed already, it would be very hard (and expensive) to have an A/V vendor set this up for you. With good lighting, the event is like your stage, and the characters are like your guests. Lighting gives your control of the focus so having a good A/V and a well equipped venue can make all the difference.

Disney’s Frozen:

You may have seen this one before, but it was such an honour to be part of this amazing setup, we included this to our list. Below is another photo:

When it comes to a winter themed event, nothing beats Frozen (in our opinion!). Oh, did we mention that this event was for Justin Beiber’s little sister? We definitely went above and beyond for this event. For the backdrops, you have the option of printing any sort of graphic on them and they work so well for photos. The balloons are a great touch, especially when used as part of a backdrop / entrance way. The balloons can also be used as plinths by using an acrylic stand and filling them with balloons. We especially love the Candy Stand since it’s acrylic, it looks like it’s made of ice. If you really want to go along with the ice theme, we can also design any sort of ice sculpture for your event (from an Ice Luge to a custom ordered 3D sculpture).

Below are some items to consider renting from an event rental company like ours:

  • Ice sculptures
  • Backdrops with graphic
  • Acrylic Plinths
  • Balloon backdrops / archways
  • Acrylic stands
  • Candy carts
  • Marquee letters
  • LED signage
  • Throne chairs

Who doesn’t like Harry Potter? The great thing about this theme is that you can easily tie this in with Christmas and you can get as creative as you want with it. Magic is the key here so see if you can replicate the “magical” experience throughout the event. For example, the host of the event can hold a wand that signals to the A/V guys to turn on the snow machines, or activate the fire in the fireplaces. Another idea is that at the end of the event, guests get to take home a branded wand to remember their magical experience. If you really want to stick with the theme you can work with the caterer to experiment with the menu items as well, just remember to don’t go overboard and make it a negative experience for some guests.
